Area manager branch visit checklist (free template)
Run every branch visit in three parts. Before you go, read the branch's last 30 Google reviews and compare its rating with your other branches. On the day, spend about 20 minutes there as a customer, then as the owner. Afterwards, write three things to fix and come back in two weeks.
Print the short checklist below for any trade, or use the one for your trade further down.
Read the last 30 reviews first, because the stars hide the problem
Ratings bunch at the top. Of the 112,467 Google reviews of barbershops in our library published October 2024 to September 2026, 92.5% gave five stars. A branch can hold a 4.7 while the same complaint comes up every week.
The words show what the stars hide. Customers name the branch, the staff member and what went wrong. Thirty reviews are enough to tell you what to look for on the day.
- Sort the branch's Google reviews by newest and read the last 30.
- Count the 1 and 2 star reviews among them, and note their dates.
- Write down every complaint that comes up twice or more.
- Compare the recent stars with the overall rating: lower means the branch is slipping.
- Check which bad reviews got a reply, and whether the reply says what changed.
- Check the Google listing: opening hours, phone number, photos and prices.
Compare the branch with your other branches, not with a perfect five
The fair comparison is your own branches and the trade around them. In our library of 23,085 restaurants in Malaysia with 10 or more Google ratings (October 2026), the median rating is 4.2. Among 1,627 hair and beauty salons it is 4.8. So a 4.5 is strong for a restaurant and weak for a salon. Our guide to a good Google rating in Malaysia has the spread for every trade.
- Put every branch's rating and review count side by side, or run each through the free rating check.
- Visit first the branch whose recent reviews repeat a complaint.
Visit as a customer first, then as the owner
Spend the first 10 minutes as a customer: walk in unannounced, buy what the reviews complain about, and pay. Spend the next 10 as the owner, with the manager and the staff on shift.
- Arrive at the branch's busiest hour (Google shows it under popular times).
- Check the door: opening hours match Google, signs lit, entrance clean.
- Time how long it takes for someone to greet you.
- Buy the service or dish the reviews complain about most.
- Check the floor, the toilet and the bins.
- Check the bill matches the price you were shown.
- Check no one asks customers for five stars or offers a gift for a review (Google bans rewards for reviews).
- Ask the manager for the last three complaints, and compare them with the reviews.
- Ask the staff what slows them down at the busiest hour.
Leave with three things to fix, and check back in two weeks
Three fixes get done. Ten get lost. Pick the three that the reviews and your own visit agree on, give each one a name and a date, and come back to check.
- Write three things to fix, each with a person and a date.
- Agree them with the branch manager before you leave.
- Book the check-back visit for two weeks later.
- At the check-back, read the reviews written since your visit and look at the three fixes again.
Each trade has its own checklist
Each one turns that trade's most common review complaints into about 30 checks.
- Café branch visit checklist: drink times, the weekend peak, and a drink that tastes different from your other outlets.
- Restaurant area manager checklist: waits, portions, the bill and the kitchen at the dinner peak.
- Dental clinic visit checklist: waiting past the appointment, fees explained before treatment, and the advertising rules.
- Barbershop visit checklist: the cut that was asked for, the walk-in wait and the barbers who carry the regulars.
- Salon visit checklist: stylist levels on the bill, hard selling and cuts shorter than asked.
- Spa visit checklist: sessions that run short, bookings that go missing and package selling.
- Car workshop visit checklist: phone quotes against the bill, approval for extra parts and promised times.
- Car wash visit checklist: the handover check, members against walk-ins, and damage claims.
- Laundromat visit checklist: damp clothes, payment faults, the contact number and refunds.
- Preschool visit checklist: drop-off, replies to parents, teacher changes and the fee list.
Questions owners ask
What should an area manager check on a store visit?
Check what customers complain about at that branch, not a generic list. Read its last 30 Google reviews, then test those complaints on the spot: the wait, the product, the cleanliness, the staff and the bill. Leave with three fixes, each with a name and a date.
How often should an area manager visit each branch?
Visit the branch whose reviews turn first, then the rest in turn. Go back two weeks after each visit to check the three fixes. Our guide to managing multiple branches covers how to watch them in between.
Is a mystery shopper better than a branch visit?
A mystery shopper sees one visit on one day. Reviews come from real customers, written across months. Read mystery shopping vs reading reviews for when each one helps.
How do I know which branch to visit first?
Pick the branch whose recent reviews repeat the same complaint, or whose last 30 reviews give fewer stars than its overall rating. Reading every review at every branch takes hours each week. Highground reads what customers write about each of your outlets and rivals, and tells you which outlet to fix.
