Dental clinic visit checklist for owners and managers (free)

Updated 22 Oct 2026 · 5 min read

This dental clinic audit checklist covers what patients see and write about, at one clinic in about 20 minutes: the phone, the waiting room, the front desk, the fees and the clinic manager. Your clinical audit stays separate. Print it and take it on your round of the group's clinics.

Before you go: the few bad reviews tell you what to check

In our library of 1,895 dental clinics in Malaysia with 10 or more Google ratings (October 2026), the median rating is 4.9 and 74% are rated 4.8 or higher. Of their 253,005 Google reviews published October 2024 to September 2026, 96.5% gave five stars and 1.2% gave one star. A clinic's rating barely moves, so read every low review it gets.

  • Sort the clinic's Google reviews by newest and read the last 30.
  • Read every 1 and 2 star review from the past year as well.
  • Note repeat complaints: waiting past the appointment, a bill above what was said, a rushed scaling, the front desk.
  • Note braces patients who say they saw a different dentist at each visit.
  • Compare the clinic with your others in the free rating check.

Arrive like a patient, at the clinic's busiest hour

Check the clinic's popular times on Google and come at its busiest hour, when waits run longest. While you wait, read the walls. The Malaysian Dental Council treats discounts, limited-time offers, free consultations, testimonials, before-and-after pictures, brand endorsements and "painless" claims as soliciting.

  • Call during opening hours as a patient, and count the rings before someone answers.
  • Message the clinic to book, and time the reply.
  • Sit in the waiting room for 15 minutes, and note how far past their booked time patients wait.
  • Check whether anyone tells a waiting patient why, and for how long.
  • Watch the front desk: does someone look up and greet each patient at once?
  • Check posters and screens show none of the things the Dental Council treats as soliciting.

The appointment: enough time, the same dentist, a clear explanation

  • Ask how long a scaling appointment is booked for, and whether the day's schedule allows it.
  • Ask how braces patients keep the same dentist across their adjustments.
  • Ask which days a locum covers, and whether patients are told who they will see.
  • Ask how the dentist explains the treatment, the options and the fee before starting.
  • Check a patient leaving knows the next step: next visit, aftercare and who to call.
  • Ask how patients are followed up after an extraction or a long treatment.

Cleanliness patients can see

  • Check the waiting area, chairs and toilet.
  • Check the surgery is wiped down and reset between patients.
  • Check the sterilisation area is tidy and instruments are stored in sealed pouches.

Staff: the front desk is the first thing patients review

  • Ask the clinic manager who joined in the last three months, and who trained them.
  • Note how the front desk answers a patient who complains about waiting.
  • Ask the dentists what slows their day down.
  • Check no one offers patients a gift, such as a free toothbrush, for a review (Google bans rewards for reviews).

Fees and the bill: no surprises at the counter

Patients accept a fee they were told about. They review one they were not.

  • Ask how patients learn the fee before treatment, and whether they get it in writing.
  • Check any consultation fee is mentioned when the patient books.
  • Check the bill lists each item and matches what the patient was told.

Close the visit with the clinic manager

  • Ask for the last three patient complaints, and compare them with the reviews.
  • Check the clinic's recent social posts against the same advertising rules.
  • Agree three things to fix before you leave.

After the visit

Write the three fixes down with a name and a date beside each. Come back in two weeks at the same busy hour and time the waiting room again. A wait that repeats across clinics usually points to how appointments are booked, not to one front desk.

The branch visit checklist explains the method for every trade. Why dental patients stop coming back shows where they go, and dental clinic marketing ideas stay inside the advertising rules. For how we read every clinic's reviews, see dental groups.

Questions owners ask

What should a dental clinic audit checklist include?

Beyond the clinical audit, check what patients complain about: waiting past the appointment, fees not explained before treatment, a rushed scaling, a different dentist at each braces visit, and the front desk. Check the posters and social posts against the advertising rules too. The list above takes about 20 minutes per clinic.

How do I cut waiting times at a dental clinic?

For one week, compare the time booked for each treatment with the time it really takes. Where the two differ, the wait builds through the day. Tell waiting patients how long, and why.

Can we give patients a gift for a Google review?

No. Google bans rewards for reviews. The Malaysian Dental Council treats testimonials as soliciting, so do not repost patients' reviews on the clinic's posters or posts either. Highground reads what patients write about each of your clinics and your rivals, and tells you which clinic to fix.
