Laundromat visit checklist for owners and area managers (free)

Updated 22 Oct 2026 · 4 min read

This laundromat checklist covers one self-service outlet in about 20 minutes plus a cycle: run a wash and a dry yourself, test every machine and payment, then call your own contact number. With no staff on site, your visit is the only time someone sees the outlet as customers do. Print it and tick it while the machines run.

Before you go: read what this outlet's reviews say

In our library of 1,195 laundries and laundromats in Malaysia with 10 or more Google ratings (October 2026), the median rating is 4.1, the lowest of the ten trades we count, and 41% sit below 4.0. Of their 26,940 Google reviews published October 2024 to September 2026, 16.0% gave one star, and the median owner reply came 4 days later.

  • Sort the outlet's Google reviews by newest and read the last 30.
  • Note repeat complaints: clothes still damp after a dry, a machine that took money and did not start, a refund that never came.
  • Note any machine the reviews name by its number.
  • Check the hours, phone and prices on Google against the outlet.
  • Compare the outlet with your others in the free rating check.

Arrive like a customer, on a weekday evening

Google's popular times for 40 laundries in our library (October 2026) are highest on weekday evenings, with Wednesday and Thursday at 7pm near the top. The single busiest hour is midnight going into Monday.

  • Visit on a Wednesday or Thursday around 7pm, and once late on a Sunday night.
  • Check the outside: lights on, sign lit, door open at the hours on Google.
  • Count customers waiting for a free machine.
  • Check the notice: prices, how to pay, the contact number and refund steps, in Malay and English.

Machines: run a wash and a dry yourself

  • Run one wash and one dry, paying the way customers pay.
  • Check the clothes come out dry after one paid dry.
  • Check every washer and dryer starts, and note any "out of order" sign with its date.
  • Check every machine number is clear, so customers can report the right one.
  • Check the coin changer takes notes and gives the right change.
  • Pay by QR and by card, and check both work.
  • Check detergent and softener are stocked and dispense the dose paid for.
  • Check the dryers' lint filters are clean.

Cleanliness: floors, drums and tables

  • Check the floor for water, detergent spills and lint.
  • Look inside the drums for leftover clothes, dirt or smells.
  • Check folding tables, baskets and seats.
  • Check the bins are emptied and the outlet smells clean.

No staff on site: test the contact number and refunds

  • Call the contact number on the wall, and time how long until someone answers.
  • Send a message to the same number, and time the reply.
  • Ask the support line how a customer gets money back from a failed machine, and how long it takes.
  • Check who visits the outlet, how often, and what they record on each visit.

Prices on the wall match the machines

  • Check the prices on the wall match the machines and Google.
  • Check a price rise was posted on the wall before it started.
  • Check no notice offers a free wash for a five-star review (Google bans rewards for reviews).

Close the visit with a repair list

  • List every fault you found, with its machine number.
  • Give each repair a person and a date.
  • Pick the three things to fix first.

After the visit

Send the repair list the same day. Come back in two weeks, run the same wash and dry, and read the reviews written since. If the same fault shows up at a second outlet, look at the machine model or the cleaning round, not one shop.

The branch visit checklist explains the method for every trade. Running a laundromat without staff covers the weeks between visits, and why laundry customers stop coming back shows where they go. For how we read every outlet's reviews, see self-service laundry chains.

Questions owners ask

What should be on a laundromat checklist?

The checks customers complain about: clothes still damp after a paid dry, machines that take money and do not start, payment faults, empty detergent, and refunds that never come. Add the outlet's own repeat complaints from its last 30 Google reviews. The list above takes about 20 minutes plus one cycle.

How do I know a machine has broken when no staff are there?

Customers often name the machine by its number in their reviews, so read them every week. Highground reads what customers write about each of your outlets and rivals, and tells you which outlet to fix. It reads reviews; it does not watch the machines.

How should a laundromat handle refunds?

Post the refund steps next to the contact number on the wall. Answer messages the same day, and tell the customer when the money will come back. A refund that never arrives is one of the complaints behind one-star reviews.
