Spa visit checklist for owners and area managers (free)
This spa checklist covers one outlet the way a customer sees it: book a real session and time it, then spend about 20 minutes on the rooms, the bill and the outlet manager. Use it when one outlet's reviews slip or new therapists start. Print it and fill it in after the session, not during.
Before you go: read what this outlet's reviews say
In our library of 1,371 massage and spa centres in Malaysia with 10 or more Google ratings (October 2026), the median rating is 4.8 and 10% sit below 4.0. Cleanliness splits them: among 1,215 spas with Google's review topics, cleanliness appears at 18% of the lowest-rated quarter and 8% of the best-rated quarter.
- Sort the outlet's Google reviews by newest and read the last 30.
- Note repeat complaints: a session shorter than paid for, oil without real massage, a lost booking, package pushing.
- Note therapists the reviews name or number, for good or bad.
- Check the hours, phone and price list on Google against the outlet.
- Compare the outlet with your others in the free rating check.
Book like a customer, for a weekday evening
Google's popular times for 901 spas in our library (October 2026) peak on Tuesday and Friday at 6pm, and weekday evenings from 5pm to 7pm are the busiest.
- Book a weekday session between 5pm and 7pm by phone or message.
- Check your booking is there when you arrive.
- Time the wait from arrival to the start of the session.
- Check the counter explains treatments and prices without pushing a package.
The session: the full time, with real technique
Time is what the customer paid for, so time it.
- Note the start and end time, and check the session lasts what you paid for.
- Check the therapist asks about pressure, injuries and areas to avoid first.
- Check the therapist works the muscles, rather than just spreading oil.
- Note any phone use or chatting with other staff during the session.
- Note any selling of packages or memberships during the session.
- Note your therapist's number, and ask how regulars keep the same therapist.
Cleanliness: the clearest gap between the best and the rest
Foot massage is the topic most tied to the lowest-rated spas: it appears at 39% of the lowest-rated quarter and 11% of the best-rated quarter, among the same 1,215 spas.
- Check sheets and towels are fresh for each customer.
- Check the room: floor, bed, oil bottles and bin.
- Check foot basins and chairs are cleaned between customers.
- Check the shower, toilet and changing area.
- Check slippers and robes are fresh, and the lockers work.
Staff: skilled therapists are the hardest to keep
- Ask how many therapists are on shift against the evening's bookings.
- Ask which therapists joined in the last three months, and who checked their technique.
- Check staff greet you and offer water or tea after the session.
- Check no one asks for five stars or offers a gift for a review (Google bans rewards for reviews).
Prices, packages and the bill
- Check the bill matches the price you were shown, for the time you got.
- Check the counter price list matches Google's.
- Ask how package balances are recorded, and whether they work at your other outlets.
- Check the package terms are written down, and that staff can explain them.
Close the visit with the outlet manager
- Ask for the last three complaints, and compare them with the reviews.
- Ask how a customer who left unhappy is followed up.
- Agree three things to fix before you leave.
After the visit
Write the three fixes down with a name and a date beside each. Come back in two weeks and book the same treatment with a different therapist. If short sessions or package pushing show up at a second outlet, look at how therapists are booked and paid.
The branch visit checklist explains the method for every trade. Why spa customers stop coming back shows where they go, and spa marketing ideas shows what customers praise. For how we read every outlet's reviews, see spa chains.
Questions owners ask
What should be on a spa checklist?
The checks customers complain about: sessions shorter than paid for, oil spread without real technique, bookings that go missing, package pushing and cleanliness. Add the outlet's own repeat complaints from its last 30 Google reviews. The list above takes about 20 minutes plus one session.
How do I stop sessions running short?
Write the start and end time on each customer's slip, and check a few against the bookings every week. Leave a gap between bookings, so one late start does not cut the next session short. Reviews often name the therapist's number when a session ran short.
How do I check therapists' work without booking every session?
Read each outlet's reviews every week, because customers name therapists by number, for good and bad. Highground reads what customers write about each of your outlets and rivals, and tells you which outlet to fix.
