Car workshop visit checklist for owners and area managers (free)
This workshop checklist covers one branch of a service, tyre or battery chain in about 20 minutes: at the counter, in the bays and with the foreman. It checks what customers complain about most: quotes that grow, parts changed without asking, and cars not ready on time. Print it and take it on your round.
Before you go: read what this branch's reviews say
In our library of 5,490 car service, tyre and battery places in Malaysia with 10 or more Google ratings (October 2026), the median rating is 4.6 and 13% sit below 4.0. Of their 265,124 Google reviews published October 2024 to September 2026, 91.9% gave five stars, and owners replied to 29% of the 1 and 2 star ones.
- Sort the branch's Google reviews by newest and read the last 30.
- Note repeat complaints: a phone price that grew at the counter, a part changed without asking, a car not ready on time.
- Check which 1 and 2 star reviews got a reply, and whether it says what changed.
- Check the hours, phone and services on Google against the branch.
- Compare the branch with your others in the free rating check.
Arrive like a customer, with a price you got by phone
Check the branch's popular times on Google and come at its busiest hour, when quotes and promised times slip most.
- Call first and ask the price of a common job, such as a wheel alignment. Write it down.
- At the counter, ask for the same job and check the price matches.
- Time how long it takes for someone to greet you at the counter or in the yard.
- Check the waiting area: seats, drinking water and toilet.
The work: a written quote first, approval before every extra
A written quote protects both sides. A customer who saw the price and approved each extra has no reason to feel overcharged later.
- Check every job starts with a written quote the customer sees before work begins.
- Ask how the adviser gets the customer's approval for an extra part, and where it is recorded.
- Check old parts are kept to show the customer.
- Check the promised time is on the job card, and see whether a car due now is ready.
- Ask how a customer is told when a job will run late.
- Ask a mechanic to explain a job in plain words, as they would to a customer.
- Ask what the branch does when a customer brings a part bought online.
Cleanliness and care for the customer's car
Customers notice grease on the seat or the steering wheel before they notice the work.
- Check the bays: no oil spills, tools put away, old tyres stacked.
- Check seat covers and floor mats protect each customer's car.
- Check each car goes back as clean inside as it came in.
- Check raised cars sit on stands, with the bay clear around them.
Staff: enough hands for the cars booked
- Count mechanics on shift against the cars booked today.
- Ask which mechanics joined in the last three months, and who checks their work.
- Watch how staff answer a customer who questions a price.
- Check no one asks for five stars or offers a gift for a review (Google bans rewards for reviews).
Prices and the bill match the quote
- Check the bill matches the written quote, line by line.
- Check parts and labour show separately.
- Check the warranty on parts and work is written on the bill.
- Check the counter price list matches the branch's Google listing.
Close the visit with the foreman
- Ask for the last three complaints, and compare them with the reviews.
- Ask which jobs came back for a second fix this month.
- Agree three things to fix before you leave.
After the visit
Write the three fixes down with a name and a date beside each. Come back in two weeks, call for the same price again, and compare. If quotes grow at a second branch too, look at how advisers are paid and how approvals are recorded.
The branch visit checklist explains the method for every trade. Why car workshop customers stop coming back shows where they go, and car workshop marketing ideas shows what customers praise. For how we read every branch's reviews, see car service chains.
Questions owners ask
What should be on a car workshop checklist?
The checks customers complain about: a phone price that grows at the counter, a part changed without approval, a car not ready at the promised time, and a bill that does not match the quote. Add the branch's own repeat complaints from its last 30 Google reviews. The list above takes about 20 minutes per branch.
How do I stop quotes growing at the counter?
Give the phone line and every branch the same price list. Make a written quote, and the customer's approval for each extra, part of every job card. Then call each branch as a customer once a month and compare.
How do I know which branch to visit first?
Pick the branch whose recent reviews repeat a complaint, or whose last 30 reviews give fewer stars than its overall rating. Highground reads what customers write about each of your outlets and rivals, and tells you which outlet to fix.
